Terms & conditions
These terms apply to every quote, reservation and trip with Journeys on Wheels, a brand of Maha 12 LLC (“Journeys on Wheels”, “we”, “us”). By requesting a quote, signing a reservation agreement or riding with us, you agree to them. Your signed reservation agreement and quote form part of these terms.
1. Who provides your service
Journeys on Wheels arranges chauffeured ground transportation throughout Texas. Your trip may be performed by our own chauffeurs or by an independent, insured transportation operator we work with in your area. Either way, these terms govern your reservation and Journeys on Wheels remains your point of contact.
2. Quotes and reservations
- Every trip is quoted in writing. A quote is an offer, not a reservation, and is subject to vehicle availability until confirmed.
- A reservation is confirmed only when you have signed the reservation agreement and payment authorization and your deposit (or full payment) has been successfully charged. You then receive a confirmation email, which is the official confirmation of your reservation.
- Reservations are handled first come, first served; availability is not guaranteed until the deposit is received.
- The person who signs the agreement must be at least 18 and is responsible for the booking and for every passenger in their party.
3. Pricing
- Hourly service starts at $150 per hour. Rates vary by vehicle class, date and itinerary and are stated on your quote.
- A 20% chauffeur gratuity and applicable taxes and fees are added to the base fare and shown on your quote.
- Most vehicles have a 3-hour minimum. Vintage cars have no hour minimum. Airport and point-to-point transfers may be quoted as a flat price.
- Pricing applies to the pickup and drop-off locations and times in your reservation. Extended service areas, route changes, extra stops, wait time and overtime may be charged at the rates on your quote.
- Standard tolls and parking may be included depending on the booking. Special-location, airport or venue fees may be charged separately.
4. Deposits and payment
- A 50% deposit is required to reserve. Certain specialty and vintage vehicles require a higher initial payment because of their exclusivity and availability.
- You may pay the full amount when you book.
- The full balance is due no later than 10 days before the scheduled pickup. If it is not paid, the reservation may be canceled automatically and is treated as a cancellation by you.
- Card details are entered only on the secure checkout page of our payment processor. We do not see or store card numbers.
5. Payment authorization
By signing the reservation agreement, you authorize Journeys on Wheels to charge the payment card used for your deposit (the card on file with our payment processor) for: the remaining balance under the payment schedule; any additional services you request, such as extra hours, stops, route changes or wait time; and any damage or cleaning fees described in these terms. If the card on file cannot be charged, you agree to pay any amount owed within 7 days of notice.
6. Cancellations and refunds
Deposits are non-refundable. If you cancel, no refund is issued. If we cancel and cannot provide a comparable vehicle, any amount paid beyond the deposit is refunded. The full rules, including no-shows and weather, are in our refund and cancellation policy, which forms part of these terms.
7. Pickup, waiting time and no-shows
- Your reservation includes a grace period at pickup, stated on your confirmation. Waiting beyond it may be billed at your booking’s rate.
- For airport pickups we track your flight, and the grace period begins when the flight lands.
- If you do not arrive within the waiting period and we cannot reach you on the number provided, the trip is a no-show and is charged in full.
- Changes and cancellations must be made with our office, not with your chauffeur.
8. Vehicle substitution
Vehicles occasionally become unavailable because of mechanical problems or circumstances outside our control. We may then substitute a vehicle of similar or greater quality and capacity, from our own fleet or an affiliated operator, at no additional cost. If no suitable substitute is available, our refund policy applies.
9. Passenger capacity
Every vehicle has a legal seating capacity, and it is not negotiable. Chauffeurs must refuse boarding beyond the capacity in your confirmation, and no refund is owed if service is refused or delayed because your group exceeds it.
10. Rules on board
Breaking any rule may end your service immediately, without refund. The chauffeur may let passengers out at a safe location.
- No smoking or vaping of any kind, and no illegal substances.
- Alcohol only for passengers aged 21 or over, where permitted by Texas law and approved in advance. We do not sell, provide or serve alcohol.
- No alcohol at all on any trip with passengers under 21 aboard — including proms, homecomings, quinceañeras and school events. Vehicles may be checked before and during these trips.
- No glass containers on party buses.
- No weapons or firearms.
- No violent, abusive, disruptive or inappropriate behavior toward the chauffeur or anyone else.
- No standing, leaning out of windows or using the sunroof while the vehicle is moving. Everyone stays seated, with seatbelts where fitted, while the vehicle is in motion.
- The chauffeur has full authority to enforce these rules and may refuse or end service to anyone who is visibly intoxicated or unsafe.
11. Cleaning and damage
- Cleaning fees: a minimum of $500 for vomit or biohazard incidents, and $100 or more for excessive mess, stains or debris.
- You are responsible for any damage caused to the vehicle by anyone in your party during the reservation, including interior or exterior damage, burns, stains, spills, broken fixtures and upholstery damage.
- Damage and cleaning fees are charged to the card on file. If it cannot be charged, you agree to pay within 7 days of notice.
12. Personal belongings
We are not responsible for lost, stolen or damaged personal items. Please check the vehicle before you leave it. If something is found we will make reasonable efforts to return it; delivery costs are the owner’s responsibility, and items unclaimed after 30 days may be donated or discarded.
13. Delays and force majeure
We are not liable for delays or failure to perform caused by events beyond our reasonable control, including traffic, severe weather, natural disasters, accidents, road closures, mechanical failure despite proper maintenance, labour disputes, government action or emergencies. No refunds are issued for such delays.
14. Limitation of liability
To the fullest extent permitted by law, Journeys on Wheels is not liable for any special, indirect, incidental, punitive, exemplary or consequential damages, or loss of profits — such as missed flights, events or opportunities — arising from our services, even if foreseeable. Our total liability for any claim is limited to the fare for the day of service in question. Nothing in these terms limits liability that cannot be limited under Texas law.
15. Chauffeur discretion
Your chauffeur’s first responsibility is safety. Chauffeurs decide routing, speed and driving, may change the route because of traffic, weather or road conditions, and will decline requests that would break traffic laws.
16. Photographs
We sometimes photograph our vehicles at events, and guests may appear in those photographs. We may use them on our website and social media. If you would rather not be featured, tell us before or during your trip, or use our contact form, and we will honor it.
17. Governing law and disputes
These terms are governed by the laws of the State of Texas. If something goes wrong, please contact us first; most issues are resolved quickly. If a dispute is not resolved within 30 days of written notice, it shall be brought exclusively in the state or federal courts located in Dallas County, Texas, and each party consents to their jurisdiction. Each party waives a jury trial to the extent permitted by law.
18. Changes to these terms
We may update these terms. The current version is always on this page with its “last updated” date. The terms in effect on the date your reservation is confirmed govern that reservation.
