The Texas Wedding Transportation Checklist
A step-by-step plan for wedding-day transportation in Texas: who rides where, how many vehicles you need, timing buffers and the questions to ask before you book.

Transportation is the part of a wedding nobody notices when it goes right. Here is how to plan it so nobody has to notice it at all.
Start with the people, not the car
List everyone who needs a ride and when: the couple, the wedding party, parents and grandparents, and guests staying at hotels. Group them by movement — getting ready to ceremony, ceremony to photos, photos to reception, and the exit. Each movement is a line on the timeline.
Choose vehicles for each movement
- The couple: a vintage car such as the Rolls-Royce Silver Cloud or the Beauford tourer — the car that appears in the photographs.
- Wedding party: a stretch limousine or Sprinter limo for 8–14 people.
- Family: an executive SUV for grandparents who want an easy step in.
- Guests: a party bus or charter coach running loops between the hotel and the venue.
- The exit: the vintage car again, or a modern Rolls-Royce Ghost.
Build in buffers
Allow fifteen minutes of buffer for every movement in Dallas, Houston and Austin, and more for venues outside the city. Vintage cars travel more slowly by design, and Saturday traffic near stadiums and downtown can add half an hour without warning.
Questions to ask before you book
- Is there a backup vehicle if a vintage car can’t run? (We stage a modern luxury car for every vintage booking.)
- What is the grace period at pickup, and what is the overtime rate?
- Is gratuity included or added? Are taxes shown separately?
- What is the deposit, when is the balance due, and what is the cancellation policy?
- Will the chauffeur coordinate with our planner on the day?
When to book
Six to nine months ahead for spring and fall Saturdays, and as early as you can for vintage cars. Send us your venues and guest count through our booking form and we will suggest the vehicle mix.
Tip. Share the transportation timeline with your photographer. The best car photographs happen when the photographer knows exactly when the car arrives.
